Terms of Use

These Terms of Use (the "Terms") govern your use of the KFUPM GSR mobile application (the "App"), the official companion app for the Global Students Research 2026 conference, operated by the conference organizing committee at King Fahd University of Petroleum and Minerals (KFUPM) ("we", "us", or "our"). Please read them carefully.

1. Acceptance of terms

By downloading, installing, creating an account in, or using the App, you agree to be bound by these Terms and by our Privacy Policy. If you do not agree, do not use the App.

2. Eligibility and accounts

  • The App is intended for registered participants of the conference, including attendees, speakers, and organizing staff.
  • You must provide accurate information when creating your account and keep it up to date.
  • You are responsible for keeping your password confidential and for all activity under your account. Tell us immediately if you suspect unauthorized use.
  • Accounts are personal. You may not share your account or your personal QR code with anyone else.
  • Roles such as VIP, speaker, organizer, and admin are assigned by us. Attempting to obtain a role you are not entitled to is a violation of these Terms.

3. License to use the App

We grant you a limited, non-exclusive, non-transferable, revocable license to install and use the App on a device you own or control, solely for participating in the conference and in accordance with these Terms and the applicable app store rules. You may not copy, modify, distribute, sell, lease, reverse engineer, or create derivative works of the App, except where the law expressly allows it.

4. Session registrations and check-in

  • Session capacity is limited. Registering through the App reserves a place, subject to availability, and joining a waitlist does not guarantee entry.
  • Please cancel registrations you no longer intend to attend so that waitlisted participants can take your place.
  • Your personal QR code is used by staff to check you in. Presenting someone else's code, or allowing someone else to present yours, is prohibited.
  • The organizers may change session times, rooms, speakers, or capacity at any time. We will do our best to notify you through the App, but we are not responsible for any inconvenience caused by such changes.
  • Session reminders and notifications are provided as a convenience. It remains your responsibility to attend sessions on time.

5. Acceptable use

You agree not to:

  • Use the App for any unlawful purpose or in a way that violates university or conference policies.
  • Interfere with or disrupt the App, its servers, or the networks connected to it.
  • Attempt to gain unauthorized access to any part of the App, other users' accounts, or our systems.
  • Use bots, scrapers, or other automated means to access the App or register for sessions.
  • Submit feedback or content that is abusive, defamatory, discriminatory, obscene, or otherwise objectionable.
  • Impersonate any person or misrepresent your affiliation with the conference.

6. Content and feedback

When you submit ratings or comments through the App, you grant us a worldwide, royalty-free license to use, store, and share that feedback for the purpose of evaluating and improving the conference, including sharing it with speakers and organizers. Written comments are shared without your name. You confirm that your feedback is your own and does not infringe anyone else's rights. We may remove any content that violates these Terms.

7. Intellectual property

The App, including its design, logos, text, graphics, and software, is owned by us or our licensors and is protected by copyright, trademark, and other laws. Conference materials such as session abstracts, speaker biographies, and presentation content belong to their respective authors. Nothing in these Terms transfers any ownership rights to you.

8. Third-party services

The App relies on third-party services such as Supabase for hosting and authentication and Firebase for push notifications, and may contain links to external sites such as a live stream. We are not responsible for the content, availability, or practices of third-party services. Your use of them may be subject to their own terms. The App is distributed through the Apple App Store and Google Play, and your use is also subject to their terms. Apple and Google are not responsible for the App or for providing support for it.

9. Availability and changes

We may update, suspend, or discontinue the App or any of its features at any time, with or without notice, including after the conference ends. We may also update these Terms. The "Last updated" date at the top shows when they were last revised. Continued use of the App after a change means you accept the updated Terms.

10. Disclaimer of warranties

The App is provided "as is" and "as available" without warranties of any kind, whether express or implied, including warranties of merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that the App will be uninterrupted, error-free, or free of harmful components, or that schedule information will always be accurate or current.

11. Limitation of liability

To the fullest extent permitted by law, we and our affiliates, officers, staff, and volunteers will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of data, opportunity, or goodwill, arising from your use of or inability to use the App. Our total liability for any claim relating to the App will not exceed the amount you paid to use it, which is zero.

12. Termination

We may suspend or terminate your access to the App at any time if you violate these Terms or if we reasonably believe your use poses a risk to the conference, other users, or our systems. You may stop using the App and request deletion of your account at any time by contacting us. Sections that by their nature should survive termination will survive.

13. Governing law

These Terms are governed by the laws of the Kingdom of Saudi Arabia. Any dispute arising from these Terms or your use of the App will be subject to the exclusive jurisdiction of the competent courts in the Kingdom of Saudi Arabia, unless applicable law in your place of residence provides otherwise.
